Job Summary

The Part-Time Secretary will provide essential administrative support to NTK BioPharma’s management team, assisting primarily with document organization, client billing, and day-to-day paperwork. This role ensures smooth office operations, accurate record keeping, and professional communication with clients, vendors, and partners. It is ideal for a detail-oriented individual who can manage multiple priorities and maintain confidentiality in a small business environment.

Job Responsibilities

The Part-Time Secretary is responsible for providing administrative and billing support to NTK BioPharma’s leadership team. This role supports smooth business operations by maintaining organized records, assisting with client invoicing, and handling day-to-day paperwork with accuracy and professionalism. The secretary will collaborate closely with the Business Manager to uphold timely communication, proper documentation, and reliable administrative workflow across the company.

Responsibilities include:

  • Assist with general office and administrative tasks, including filing, document formatting, and data entry.

  • Prepare, send, and track client invoices; support billing follow-up and payment logging.

  • Maintain organized digital and physical records for contracts, forms, reports, and correspondence.

  • Help manage company email inboxes and respond to routine inquiries as needed.

  • Assist with scheduling meetings, calendar updates, and preparing materials for internal and client calls.

  • Update spreadsheets, trackers, or simple reports using Excel or Google Sheets.

  • Handle confidential information with discretion and maintain professional communication standards.

Qualifications & Skills

  • Associate’s degree or equivalent experience preferred.

  • 1–3 years of experience in administrative or office support roles.

  • Basic understanding of billing or invoicing processes (Excel and Google Sheets proficiency required).

  • Strong organizational skills with excellent attention to detail and accuracy.

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) or Google Workspace.

  • Excellent verbal and written communication, time management, and multitasking abilities.

  • Self-motivated, dependable, and able to work collaboratively.

  • Experience in the pharmaceutical, biotech, or healthcare industry is a plus.

Organizational Relationships

  • Reports directly to the Chief Executive Officer (CEO).

  • Supports the CEO and leadership team in advancing NTK BioPharma’s business and client deliverables.

  • Coordinates with internal project teams and external clients or vendors as needed.

Resources Managed

  • Responsible for managing administrative documentation, billing records, scheduling workflows, and client correspondence.

Financial Accountability

  • Contribute to accurate and timely processing of invoices and billing records.

  • Support organized tracking of client payments and internal documentation in alignment with NTK BioPharma’s administrative procedures.
